Use hard-to-guess passwords and review them regularly. Update them when staff leave or change roles, keeping sharing to the necessary minimum.
Discourage external sharing
Set clear rules for external sharing, social media posts and printing. Initial consent notices and other measures help discourage unauthorized sharing.
Access records
Where needed, record access sources and viewing activity to support incident checks and improvements to operation.
Detect unusual activity
Check for unusual patterns, such as sudden traffic increases or concentrated page views, to help identify suspicious signs early.
Notify stakeholders
Promptly notify relevant people when unusual activity or suspicious sharing is identified. Establish routine checking and communication procedures.
Prompt incident response
When needed, suspend publication, change passwords, or edit or hide content before deciding whether to resume access.
If an incident occurs, we coordinate checks, stakeholder notifications, temporary suspension or corrections, and the decision to resume.
